Information we collect

The information we receive depends on how you interact with our website and whether you proceed with a video editing project.

Information you provide

  • Contact details, such as your name, email address and telephone number, where supplied.
  • Project details, including the intended purpose, original footage duration, desired final length, editing requirements, budget range and preferred completion date.
  • Messages, questions, feedback and other information you choose to include in communications.
  • Footage, images, audio, logos, instructions and related files you provide after transfer arrangements have been agreed.
  • Feedback and amendment instructions relating to an agreed editing project.
  • Records needed to manage agreed services, invoices, business administration and any subsequent queries.

Information collected through website use

Depending on the website configuration, we or our service providers may receive technical information such as browser type, device information, approximate usage data, pages visited, security logs and cookie preferences.

We do not ask you to submit payment card details through the project enquiry form. Please do not include sensitive personal information that is not needed to assess your editing requirements.

03

How we use information

We use personal information for purposes connected with our services and website, including:

  • Reviewing project enquiries and deciding whether the requested editing work is suitable for our service.
  • Contacting you to clarify requirements and discuss scope, price, expected turnaround, amendments and delivery arrangements.
  • Receiving and organising authorised project materials and editing instructions.
  • Preparing, reviewing and delivering edited video files in the agreed format.
  • Managing feedback, agreed amendments, service questions and complaints.
  • Maintaining relevant business, accounting and contractual records.
  • Operating, maintaining and protecting our website, including identifying technical faults and preventing misuse.
  • Responding to lawful requests and meeting applicable legal obligations.

We do not use submitted footage as a public portfolio or promotional example simply because it was supplied for editing. Any separate publication or promotional use requires an appropriate basis and permission where required.

We do not sell personal information. We do not use project enquiry information for unrelated marketing unless we have an appropriate lawful basis and, where required, your permission.

04

Legal grounds for processing

Where applicable data protection law requires a legal basis, we rely on the basis appropriate to the particular purpose. This may include:

  • Steps taken at your request: reviewing an enquiry and discussing a potential project before any agreement is made.
  • Contract performance: handling information necessary to perform an editing service that you have agreed with us.
  • Legal obligations: retaining or providing records where required by applicable law.
  • Legitimate interests: managing business correspondence, maintaining service records, protecting the website and resolving disputes, where those interests are not overridden by your rights and interests.
  • Consent: where we rely on consent for a particular activity, such as non-essential cookies where required.

Where processing is based on consent, you may withdraw that consent at any time. Withdrawal does not affect processing carried out lawfully before it was withdrawn.

If information is needed to assess a request or carry out an agreed project, choosing not to provide it may mean we cannot assess the enquiry or complete the relevant work.

05

When information may be shared

We share personal information only where appropriate for the purposes described in this policy, including with:

  • Website and form providers: to host the website, receive enquiries and deliver form submissions.
  • Email and communications providers: to receive, send and store correspondence.
  • File storage or transfer providers: where needed to receive project materials or deliver completed video files.
  • Professional advisers: where reasonably necessary for accounting, legal advice or business administration.
  • Public authorities or other recipients: where disclosure is required by law or necessary to establish, exercise or defend legal claims.

Providers should receive only the information reasonably necessary for their role. Where required, appropriate contractual and data protection arrangements will be used.

We do not make customer footage publicly available, and we do not disclose it to unrelated parties for their own promotional purposes without an appropriate basis.

06

International data transfers

Some website, email, storage or file-transfer providers may process information outside the United Kingdom. Whether this happens depends on the services actually used and their infrastructure.

Where personal information is transferred internationally, we will take the steps required by applicable data protection law. Depending on the destination and circumstances, this may include relying on an applicable adequacy regulation or decision, or using an appropriate transfer safeguard and assessing whether additional protection is needed.

You may contact us for further information about relevant transfer safeguards where applicable.

07

How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including applicable contractual, accounting and legal requirements. The following are our intended standard retention periods, subject to lawful extensions or earlier deletion where appropriate.

Information type Standard retention period
Unsuccessful or inactive project enquiries Up to 12 months after the last meaningful communication.
Project footage and working copies Normally up to 90 days after final delivery, unless another period is agreed or continued retention is necessary and lawful.
Completed project correspondence and service records Normally up to 6 years after the end of the relevant contractual relationship where needed for record keeping or potential legal claims.
Accounting and tax records For the period required by applicable accounting and tax rules; this may be at least 6 years for relevant company records.
Complaints and related records Normally up to 3 years after the complaint is closed, unless a longer period is reasonably necessary or legally required.
Routine technical and security logs Normally up to 90 days, unless an incident requires longer retention.

These periods are retention targets, not a promise that every record will always be kept for the full period. Information may be deleted sooner where it is no longer needed. Records may be retained for longer where required by law or reasonably necessary to establish, exercise or defend legal claims.

Deletion from active systems may not immediately remove every copy from routine backup systems. Where retained backup copies exist, they will be overwritten or deleted in accordance with the applicable backup cycle and will not be restored for ordinary use except where necessary.

08

Information security

We take reasonable technical and organisational steps appropriate to the information we handle. These may include access restrictions, account security, trusted file-transfer methods and limiting access to project materials to people who need them for the agreed work.

No method of transmission or electronic storage can be guaranteed to be completely secure. Please use agreed transfer arrangements for project footage and avoid including unnecessary personal information in messages or file names.

If a personal data breach occurs, we will assess it and take the steps required by applicable law, including notifying the relevant authority or affected individuals where legally required.

09

Cookies and website technologies

Our website may use essential technologies needed for website operation, form functionality, security and remembering relevant settings. Depending on the configuration, additional analytics or other non-essential technologies may also be available.

Where consent is required for non-essential cookies or similar technologies, they should not be activated before the required consent has been obtained. You can manage available preferences through the website’s cookie controls, where provided.

The exact technologies used depend on the active WordPress theme, plugins, hosting configuration and any external services enabled on the site. Please see our Cookie Policy for further information.

10

Your data protection rights

Depending on the circumstances and the applicable legal basis, you may have the right to:

  • Request access to the personal information we hold about you.
  • Ask us to correct information that is inaccurate or incomplete.
  • Request deletion of personal information where the legal conditions are met.
  • Ask us to restrict certain processing in circumstances provided by law.
  • Object to processing based on legitimate interests, on grounds relating to your particular situation.
  • Receive certain information in a portable format where the legal requirements are met.
  • Withdraw consent where processing relies on consent.
  • Raise a concern with the relevant data protection supervisory authority.

These rights are not absolute and some may not apply to every type of processing. We may need to verify your identity before responding to a request.

We will respond without undue delay and normally within one month of receiving a valid request. Where the law permits an extension because a request is complex or several requests have been made, we will inform you within the initial one-month period and explain the reason for the extension.

To exercise a right, email hello@aventurteylu.shop with the subject line “Data Protection Request”.

11

Children’s information

Our project enquiry service is intended for people who can appropriately request and arrange the relevant service. We do not knowingly request children’s personal information unless it is relevant to a project and there is an appropriate reason and lawful basis for handling it.

If footage contains identifiable individuals, the person supplying it is responsible for ensuring that they have the necessary rights and permissions to provide the material for the agreed editing purpose, where required. Please contact us if you believe personal information has been submitted inappropriately.

12

Changes to this policy

We may update this policy when our website, service arrangements, information-handling practices or legal obligations change. The current version will be published on this page and will apply from the time it is published, unless a different effective date is expressly stated.

If a material change affects how we use information already collected, we will provide further information where required by law.

13
